Our goal is to provide the best product at the best price, and our pricing structure reflects this commitment. While we can’t guarantee that our platform will always be cheaper than your current solution, it often is. If not, let us know, as we believe the transition should deliver value in every aspect for you as a customer.

The migration process comes at no extra charge, i.e. as part of the deal. We may set a cap on the number of hours included in the migration process for larger projects, but we have yet to encounter a project that couldn’t be completed within this cap.

The two main challenges when migrating from one platform to another are the quality of your existing data and the file format your current provider allows you to export.

Data Quality

Your data quality might lead to issues as we import it into the .legal platform from your previous provider. While not a significant challenge, addressing all documentation gaps might require some back-and-forth.

When migrating your documentation, our Customer Success team meticulously handles the task. They will note any questions about your current documentation and integrate them into your task management module.

Once the migration is complete, we will review the results with you, and together, we will resolve any outstanding issues.

It can complicate the process when migrating from a provider that doesn't support exporting your documentation in a structured format. When we encounter this, we will collaborate to find a solution to keep the process moving forward.

The Migration Requirements

When you choose .legal’s compliance software, we will start migrating your data from your current platform. In the following section, we outline how this process works in practice.

Review of Your Data

We thoroughly review the extracted data once you export and send your existing documentation to us. This review allows us to assess the data quality and identify gaps, such as missing information from your previous platform.

It also helps us estimate the project timeline and determine what we will need from you. Additionally, we create a list of data items that might be managed differently on the .legal platform, though this is a rare occurrence.

We typically complete this data review within 1-2 working days.

Structured Data

Our customers migrate from various platforms, each with different data structures and export capabilities. While we can’t guarantee the migration will be entirely issue-free, we assure you that we will complete the process successfully.

Ideally, your data should be exported from your previous platform in a structured format. For example, we might receive your records of processing activities in an Excel sheet, but we can also work with Word documents if that’s how your documentation is stored.

To ensure accuracy, we manually configure your GDPR compliance in our software, carefully matching the fields from your exports to our solution.

How Should You Prepare for the Migration?

The migration process is smoother when all documentation is transferred to us in one go. To facilitate this, you should have access to all elements of your current GDPR compliance documentation and ready for export.

How to Optimise the Migration?

A smooth migration process is more likely to occur when your contact person thoroughly understands the existing GDPR documentation. This knowledge helps address any gaps during the follow-up review after the import.

Effective communication and availability of your team to collaborate with our Customer Success team are essential. The more closely we work together, the better the outcome.

Time Horizon

The time required to migrate your data depends on several factors, including the size and complexity of your GDPR documentation. Typically, we complete the migration within two weeks, but this can vary based on specific circumstances.

Migration Costs

Typically, the migration process requires minimal time or resources from you. We strive to make it as smooth and straightforward as possible.

Based on our experience, we have developed a process to review and quality test your data in various stages. 

Process

  1. We start with an initial meeting to review the export and may schedule an additional session if any issues are identified during this meeting.

  2. Throughout the migration, we will address any questions, though we aim to keep these to a minimum unless you prefer ongoing dialogue.

  3. Once the migration is finalised, we review it together to identify any potential gaps in your documentation.

These meetings are held online via Microsoft Teams and usually require 1-2 hours of your time.

Onboarding

A typical onboarding session where we go through an environment where we have imported your current documentation base will take 45-60 minutes.. After that, you should be ready to move forward. If you need to discuss specific scenarios or ways to optimise your platform use, you can schedule as many meetings as necessary with your customer success contact.

Existing Contractual Obligations
